ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Orientation & Onboarding Support

  • Coordinate logistics for new hire orientation, including room setup, materials, technology, and catering.
  • Prepare participant rosters, schedule speakers, and manage communication for orientation events.
  • Maintain orientation content and support updates as needed to reflect evolving policies and culture.
  • Assist new team members with onboarding questions and provide a warm and welcoming experience.

Training Curriculum Coordination

  • Support scheduling and coordination of training sessions, including leadership development and compliance training.
  • Track attendance, evaluations, and completion records through the Learning Management System (LMS).
  • Assist with editing, formatting, and distributing training materials and handouts.
  • Provide day-of support for facilitators and help manage session logistics and follow-up.

Recognition Program Administration

  • Coordinate all aspects of the employee recognition program, including nomination cycles, tracking, communication, and award fulfillment.
  • Manage service anniversary celebrations and ensure timely acknowledgment of milestones.
  • Support the planning and execution of appreciation events and recognition campaigns.

Mentorship Program Support

  • Assist with the administrative coordination of the enterprise mentorship program.
  • Manage sign-ups, mentor/mentee matching, and event scheduling.
  • Track participation, send communications, and gather feedback to support program improvement.
  • Maintain documentation, program guides, and communications templates.

General Program & Office Support

  • Provide responsive and professional support to team members and leaders involved in HR programs.
  • Maintain accurate program calendars, records, and documentation.
  • Assist in creating reports, presentations, and materials that support program visibility and success.
  • Performs other special projects and duties as assigned.

EDUCATION and/or EXPERIENCE

  • Associate’s or Bachelor’s degree in Human Resources, Hospitality, Education, or a related field preferred.
  • 2 years of experience in an HR, L&D, or program coordination role.
  • Strong organizational skills with excellent attention to detail and follow-through.
  • Customer service mindset with a professional and welcoming demeanor.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with LMS platforms or scheduling tools preferred.
  • Ability to manage multiple tasks and adjust priorities in a fast-paced environment.
  • Bilingual (English/Spanish) preferred.
